Club Rules & Expectations

Club Member Expectations and Fees

Before Meeting:
  • Must arrive 15 minutes early (02:15 PM)
  • Help set up tables, chairs, name tents, etc.
  • Attendance/Roles/Outside of Meeting:
  • Every member (regardless of having a role or not) must attend every meeting
  • Every member should be prepared to fulfill a role. If they aren’t, they should contact the President, or the Toastmaster or Coach Tahseen
  • Absences will only be excused if they are sent in at least a week early and with a good reason. Two consecutive absences without a valid reason may forfeit the club membership.
  • If a member has any questions about role assignment, they should contact the VP of education.
  • Invite family and friends to attend meetings, if possible
  • Send absence notifications to Secretary and Coaches
  • Respond to Coaches and club emails within 24 hours
During Meeting:
  1. Phones silent or off completely
  2. Stay quiet and respectful
  3. No side conversations with people around you
  4. Maintain eye contact with speaker
  5. No food or gum eaten during the meeting
  6. Always have a pencil and paper ready
  7. Keep name tent visible
  8. Use the CC and CL manuals regularly
  9. Follow officers’ and coaches’ instructions to the best of everyone’s ability
  10. Have high moral and ethical standards
  11. Consult coaches and officers regarding club issues or business
​Dress code/Building Rules:
  • Dress business casual/modest
  • Treat the space with respect: throw away all trash and recycle all extra paper at the end of every meeting. Don’t leave until the space around you is clean.
Point Systems:
  • Members will accrue 5 points for each guest when they bring friends or family members who are 10+ years old.
  • Members will accrue 5 points if they fill in a speech role or 2 points if they fill any other role at the last minute.
  • Members will lose 5 points if they fail to give a speech without a valid reason.
  • Members will lose 5 points for coming late after 2:05 PM.
Speech Preparation:
  • The students are responsible for preparing their speeches in advance. 
  • They are given at least two weeks’ notice by the VP of Ed. 
  • Speech drafts are due one week in advance, shared in Google Docs with Coach Tahseen.
  • The students then work with the coach via Google Docs to develop their speeches as needed.
Fees:
$100 one-time payment at the start of the year to pay for supplies, manuals, and club events
Weekly Meeting To-Do's:

1- VP of Education emails out to the group by 7 pm on Sunday (after the club meeting) with all the meeting roles for the next week 
2- The toastmaster of the week announces the meeting theme and reminds the speakers by Monday 7 pm. 
3- The speakers of the week provide the speech titles and intros to the toastmaster by Wednesday 7 pm.
4- The toastmaster prepares the agenda and emails out to the group by 7 pm on Thursday.
5- Coach Tahseen will make any changes with the guest speaker details by 7 pm on Friday.
6- The Toastmaster brings 35 copies of the agenda to the meeting and arrives 30 minutes before the meeting.
